This policy explains how My Easy Solutions ("we", "us", "our") collects, uses and protects your personal data when you visit myeasysolutions.co.uk, get in touch with an enquiry, or buy one of our products. It's written to comply with UK GDPR and the Data Protection Act 2018, as updated by the Data (Use and Access) Act 2025.

This policy is written to be clear and accurate, but it isn't a substitute for professional legal advice. If you have specific legal concerns about how your data is handled, you're entitled to raise them with us directly (see "How to complain" below), or seek independent advice.

Who we are

My Easy Solutions is a sole trader business run by Romans Viluss, based in Peterborough, England. For the purposes of UK GDPR, we are the "data controller" for the personal data described in this policy.

What data we collect, and why

When you use our "Tailored Request" enquiry form

We collect your name, email address, company name (if provided), the topic you're enquiring about, and any additional notes you include. This is submitted via Netlify Forms, our website hosting provider's built-in form service.

Why: to respond to your enquiry and discuss a tailored training or template request.

Legal basis: legitimate interest — responding to a direct enquiry you've chosen to send us.

When you make a purchase

Purchases are handled entirely through Stripe, our payment processor. We do not see or store your full card details at any point — Stripe processes and secures that data directly. We do receive your email address and purchase details (which product, price paid, date) from Stripe, so we can confirm your order and provide support if needed.

Why: to fulfil your order and provide any necessary customer support.

Legal basis: performance of a contract — we need this data to actually deliver what you've paid for.

When you email us directly

If you email hello@myeasysolutions.co.uk, we'll hold that correspondence, including your email address and whatever you've chosen to tell us, for as long as reasonably needed to handle the matter.

Legal basis: legitimate interest — responding to correspondence you've initiated.

Cookies and analytics

At the time of writing, this website does not use analytics or tracking cookies. If this changes in future — for example, if we add website analytics — this policy will be updated first, and where required by law, we'll ask for your consent via a cookie banner before anything non-essential is set.

Is providing your data required?

Providing your name and email is required to submit an enquiry or complete a purchase — without it, we simply can't respond to you or fulfil an order. Everything else (company name, notes, additional details) is optional and only helps us respond more usefully.

Automated decision-making

We do not use automated decision-making or profiling of any kind. Every enquiry is read and responded to by a person.

Children's data

Our products and services are aimed at businesses and working adults, not children. We do not knowingly collect personal data from anyone under 18. If you believe a child has provided us with personal data, please contact us and we'll delete it.

How we protect your data

We take reasonable technical and organisational measures to protect the personal data we hold, including relying on established, reputable providers (Stripe, Netlify) who maintain their own strong security standards for the data they process on our behalf. We do not store payment card details ourselves at any point.

Who we share your data with

We use a small number of trusted third-party services to run this business. Each of them processes data on our behalf, under their own privacy and security terms:

Some of these providers may process or store data outside the UK (for example, in the United States or EU). Where this happens, they do so under recognised data protection safeguards, such as Standard Contractual Clauses. We do not sell, rent, or otherwise trade your personal data to any third party for marketing purposes.

How long we keep your data

We keep enquiry and correspondence data for as long as reasonably needed to handle the matter, and no longer than necessary. Purchase and payment-related records are kept for as long as required by UK tax law — currently up to 6 years — to meet our obligations to HMRC.

How to complain

If you're unhappy with how we've handled your personal data, please tell us first — email hello@myeasysolutions.co.uk with "Data Complaint" in the subject line, and we'll respond within 30 days.

Changes to this policy

We may update this policy from time to time, for example if we start using a new service or add website analytics. The "last updated" date at the top of this page will always reflect the most recent change.
